The Human Resources Department is currently accepting applications for the full-time, permanent position of Executive Assistant to the Director, Corporate and Legislative Services.  Reporting to the Director of Corporate and Legislative Services/Municipal Lawyer, the Executive Assistant is responsible for providing executive level confidential administrative and legal support to the Director. The activities associated with this position range from routine to complex in order to effectively support the Director with the operation of the Department and with the provision of legal services to the Corporation.  This includes providing human resources, labour management and budgeting support, as well as file management, preparing draft agreements and by-laws for all municipal departments, and researching case law, legislation and policies. This position requires significant discretion and professionalism and is privy to information which is highly sensitive and confidential in nature. 

The ideal candidate will possess the following qualifications:

  • Completion of degree or diploma in Business Administration, Business Management or a Legal Assistant/Law Clerk program, is required.
  • A minimum of five years of progressive administrative or legal experience is required, preferably in a municipal environment, specifically with an emphasis on the ability to independently determine priorities and organize activities in a dynamic work environment.
  • Experience preparing legal agreements and documents, and independently conducting corporate and title searches, is an asset
  • Demonstrated research, analytical and organizational skills, with the ability to undertake a range of self-directed tasks, often requiring significant attention to detail and varying in complexity.
  • Well-developed report writing skills with the ability to effectively research, analyze and summarize information.
  • Superior oral communication skills, demonstrating sound political acuity and the ability to resolve concerns or issues, both independently and in conjunction with the Director/Municipal Lawyer.
  • Sound knowledge of and demonstrated experience with municipal services, programs, processes and initiatives, and relevant legislation, an asset.
  • Working knowledge of municipal legislation and regulations including, but not limited to, the Municipal Act, the Municipal Freedom of Information and Protection of Privacy Act, the Accessibility for Ontarians with Disabilities Act, the Human Rights Code, the Insurance Act, the Provincial Offences Act, and the Commercial Tenancies Act, an asset.
  • Advanced skill level with the Microsoft Office Suite (Word, Excel, Teams, Outlook, PowerPoint and Sharepoint), and with Canva and Adobe Acrobat, required.
  • Valid “G” Class Ontario Driver’s license, with the use of a safe, reliable vehicle.

The salary range for this position is $74,065.40 to $103,709.43 per annum, as per the Non-Union By-Law. Compensation also includes a competitive benefit package and membership in OMERS, a defined benefit pension plan.
